Terms of service
Buying digital downloads from PrepareHQ
Terms version: PHQ-DIGITAL-2026-09-25.
Your seller and support contact
PrepareHQ Ltd, company number 16572092, is your seller. Our registered office and correspondence address is 122 Fore Street, Saltash, England, PL12 6JW. This is not a shop or collection point.
Email info@preparehq.com or send a WhatsApp message to +44 7908 923138. Please do not send card details or completed private planning records to us.
What you are buying
These are one-off digital purchases. No physical item, subscription or software licence is included. Check the product description for the files, edition, regional content, supported software and any overlap with a bundle you already own. A4 and US Letter editions usually repeat the same content in different paper sizes; they are not two different products.
PDF planners are for printing and handwriting unless the product description says otherwise; they are not fillable forms. Our Excel products require desktop Microsoft Excel for Windows and a computer that can extract ZIP files. Mac, Google Sheets and mobile compatibility have not been validated. You need your own compatible software and, for printed use, a printer and paper. Individual requirements are repeated in your order acknowledgement.
The files are downloaded to your device. Keep a private saved copy and retain the included instructions. The PDFs are unencrypted; the Excel guides explain how to use the workbook while preserving its formula cells. Download links are for your order and should not be shared publicly. Contact us if a link does not work.
Price, payment and acceptance
The price and total payable are shown before you place the order, including any applicable tax. There is no delivery charge for a download. Prices are in pounds sterling for our UK checkout. A price change applies only to future orders.
Placing an order is an offer to buy. The first order email acknowledges receipt; it is not acceptance. We accept your digital order when payment is successfully collected. We then send an email confirming the contract and making your files available.
Eligible payments are collected automatically after authorisation and our security checks. Some orders may need review, so access is not guaranteed immediately after checkout. Your bank may show a temporary authorisation before payment is collected. If we cannot accept an order, we cancel the authorisation. If payment has been collected but we cannot supply the files, we contact you and refund the amount due. Your bank controls when a released authorisation disappears.
We send download links to your checkout email address after successful payment. Check the address before ordering and check your spam folder if the email is missing. Contact us if you cannot access what you bought. Food orders are handled separately and do not delay eligible digital orders.
Cancellation and file problems
You normally have 14 days after the digital contract is made to cancel. At checkout, we ask for your express request for supply to begin during that period and your acknowledgement that this cancellation right ends when supply begins. We confirm that request and acknowledgement by email. The right ends only when the legal requirements for early supply have been met; payment alone does not remove it.
Before supply begins, email info@preparehq.com or contact us using any clear cancellation statement. You can use the optional cancellation form in our returns policy. Where you have a right to cancel, we refund without undue delay and within 14 days of being told, using the original payment method unless you agree otherwise, with no refund fee.
Your rights if files are faulty or not as described remain. We will provide the remedy required by law, which may include repair, replacement or a price reduction up to a full refund. Tell us the product, order reference and problem so we can help; do not send sensitive completed records. We do not offer an additional change-of-mind guarantee after the statutory cancellation right has ended.
Using the files
You may save and print working copies for your own household. Do not resell, redistribute or publicly share the blank files. Preserve source attributions and underlying public-sector licence notices; those materials retain their own licence terms. You may share relevant completed pages privately with someone helping your household, such as a carer or pet sitter.
These are practical planning and record-keeping materials, with the scope stated for each product. They are not personalised medical, dietary, veterinary or emergency-response advice. Follow official instructions and qualified advice where appropriate. No future editions, ongoing subscription or additional services are included unless expressly described. This does not reduce your rights to receive conforming content or any updates required by law.
Help and your rights
Contact info@preparehq.com with a complaint. Nothing in these terms excludes liability where unlawful or removes your statutory rights. English and Welsh law applies, without removing any mandatory consumer protections or access to local courts that apply to you. Changes to these terms do not retrospectively alter an accepted order. Etsy purchases use the terms shown for that Etsy transaction.
Website enquiries and food orders
Food terms version: PHQ-FOOD-2026-10-01.
Who we are
PrepareHQ Ltd is your seller and support contact. Our company number is 16572092 and our registered office and correspondence address is 122 Fore Street, Saltash, England, PL12 6JW. This address accepts letters and cancellation notices; it is not a shop or collection point. For food parcels, follow the return arrangements in our Refund Policy.
Contact info@preparehq.com or use our contact form.
Online food orders and enquiries
Eligible food selections with a food subtotal below £2,000 can be ordered through our online checkout for supported delivery addresses. Some recipes, destinations and larger selections need an enquiry instead. The available options are shown when you review your selection. Food and digital downloads use separate baskets.
Using the food finder, saving a selection or sending an enquiry does not place an order, reserve stock or take payment. For an enquiry, we check supplier availability and provide a written proposal showing the recipes, quantities, total price, delivery arrangements and payment instructions. You can decide whether to proceed.
Authorisation, confirmation and acceptance
Submitting a food order at checkout is an offer to buy. Your card is authorised for the checkout total and your bank may show a temporary hold. Authorisation is not collection of payment and does not guarantee supplier stock. We confirm supply before collecting payment.
An order becomes binding when we confirm in writing that we accept your order. An automated enquiry or order-received acknowledgement is not acceptance. We confirm the agreed recipes, quantities, total and delivery arrangements in writing before collecting payment. We do not substitute recipes or increase the agreed total without your agreement.
If we cannot supply your selection, we contact you about the available options. You do not have to accept a replacement. If the order does not proceed and payment has not been collected, we cancel the authorisation; your bank controls when the hold disappears. If payment has already been collected, we provide any refund due under our returns and cancellation policy. If an authorisation expires before the order can proceed, we arrange a new payment with you rather than collecting simply to avoid expiry.
Prices and payment
Prices are shown in pounds sterling. The food price and any delivery estimate are shown separately. For online orders, checkout shows the total payable, including delivery and any applicable taxes, and the available payment methods before you place the order. For enquiries, we confirm those details in the written proposal before you agree to proceed.
Website prices may change for future orders. A change does not alter an order we have already accepted. If we identify a pricing error before acceptance, we explain it and give you the choice of proceeding at the corrected price or not ordering.
Please do not send payment-card details through an enquiry form or by email.
Food, quantities and planning estimates
Our food is supplied in complete cases of six tins of the same recipe. A ready-made pack is a selection of these cases. Check the exact recipe mix, case quantities and ingredient and allergen information before ordering.
A stated serving is a recipe portion. Planning durations depend on the people and daily serving pattern shown; they do not mean the selection provides a complete day's calories or nutrition. Individual needs and portion sizes vary.
Tin photographs may show earlier packaging. Meal images are serving suggestions. Follow the actual tin's ingredients, allergen, preparation, best-before and storage information. Contact us before ordering if you need information that is not available on a recipe page.
Delivery
Food is normally dispatched directly by the manufacturer. PrepareHQ remains responsible for your order and is your contact for delivery questions or problems.
We confirm availability, the delivery method, any charge and the expected timing before payment. We do not promise a fixed dispatch time on the basis of an old stock list. See our delivery information.
If an agreed delivery date cannot be met, we will contact you. Your rights concerning late or missing deliveries remain unaffected.
Cancellations, returns and problems
See our returns and cancellation policy. It explains the cancellation rights that apply to eligible distance purchases, the position for unsealed food, return costs and your rights if goods are faulty, damaged, incorrect or not as described.
We do not offer an additional taste trial or extended change-of-mind return period. This does not reduce your legal rights. Contact PrepareHQ for help even where the manufacturer dispatched the food.
Responsibility and your legal rights
Nothing in these terms excludes or restricts liability where doing so would be unlawful, or takes away your statutory consumer rights. We remain responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill.
Follow the food's preparation and storage instructions. General planning information is not individual dietary or medical advice.
Complaints and applicable law
Please email info@preparehq.com if something has gone wrong so we can investigate and respond.
These terms are governed by the law of England and Wales. If you are a consumer elsewhere in the UK, this does not remove the mandatory protections or access to your local courts that the law gives you.
We may update these terms for future use. Changes do not retrospectively change an accepted order.
